Terms of Service

Please read these Terms of Service carefully before using ReloHub. By signing in or accessing the platform, you agree to be bound by these terms. If you do not agree, do not use this service.

1 Acceptance of Terms

By accessing or using the ReloHub platform (the "Service"), operated by Bristol Global Mobility, a company incorporated in the United States with offices in Canada, the United Kingdom, and Singapore ("we," "us," or "our"), you confirm that you have read, understood, and agree to be bound by these Terms of Service ("Terms") and any applicable policies referenced herein.

These Terms apply to all users of the platform, including but not limited to supplier users, client users, and internal administrators. Access to the Service is granted solely to authorized individuals at the invitation of a Bristol Global Mobility administrator or an authorized client representative.

2 About ReloHub

ReloHub is a global mobility and relocation management platform developed and operated by Bristol Global Mobility, a United States company with offices in Canada, the United Kingdom, and Singapore. The Service provides a centralized hub for managing relocation-related invoices, financial reports, supplier relationships, and client approvals across our global operations.

Invoice Management

Submit, draft, review, and approve relocation invoices and credit memos in a structured workflow.

Reporting & Analytics

Access real-time aging reports, export data to Excel and PDF, and track financial performance.

Multi-Tenant Access

Separate, role-controlled access for suppliers, clients, and internal Bristol Global Mobility staff.

Secure by Design

Role-based permissions, verification codes, and audit trails protect your data at every step.

3 Accounts & Access

Accounts are not self-registerable. All users must be invited and provisioned by a Bristol Global Mobility administrator or an authorised client representative. If you require access, contact your administrator.

When you are granted access to ReloHub, you agree to:

  • Keep your login credentials strictly confidential and not share them with any other person.
  • Immediately notify your administrator if you suspect unauthorised access to your account.
  • Ensure all information associated with your account is accurate and kept up to date.
  • Use only the permissions and access rights assigned to your designated role.
  • Not attempt to access areas of the platform beyond your authorised scope.

Bristol Global Mobility reserves the right to suspend or revoke access to any account that is found to be in violation of these Terms or whose continued access poses a security risk.

4 User Roles & Responsibilities

ReloHub operates on a role-based access model. Each role carries specific permissions and corresponding responsibilities:

Supplier Users

Supplier users access ReloHub to submit and manage relocation invoices on behalf of their organisation. As a supplier user, you agree to:

  • Submit only accurate, legitimate invoices and credit memos relevant to authorised relocation services.
  • Ensure uploaded documents (Excel, PDF, or image files) are genuine and free from malicious content.
  • Not submit duplicate invoices or attempt to manipulate financial records.
  • Promptly address any queries or corrections raised by client or internal reviewers.

Client Users

Client users access ReloHub to review, approve, and monitor relocation invoices submitted on their behalf. As a client user, you agree to:

  • Review invoice data carefully and approve only legitimate charges.
  • Use report and export functionality solely for authorised internal business purposes.
  • Not share exported financial reports with unauthorised third parties.
  • Manage access requests for your organisation's users responsibly.

Internal / Administrator Users

Internal Bristol Global Mobility staff with elevated privileges are responsible for platform administration, user management, and maintaining data integrity. Internal users agree to:

  • Exercise administrative capabilities responsibly and only for legitimate operational purposes.
  • Provision and revoke user access promptly and in accordance with company policy.
  • Treat all client and supplier data with the highest level of confidentiality.

5 Acceptable Use

You agree to use ReloHub only for lawful purposes and in accordance with these Terms. The following actions are strictly prohibited:

Submitting false, fraudulent, or misleading invoice data.
Uploading files containing viruses, malware, or any malicious code.
Attempting to access, probe, or scan system vulnerabilities.
Reproducing or redistributing platform content without written authorisation.
Using automated scripts, bots, or scrapers to extract data.
Circumventing role-based access controls or impersonating another user.
Sharing account credentials or granting access to unauthorised individuals.
Interfering with server infrastructure or platform availability.

Violation of the acceptable use policy may result in immediate account suspension, removal of data, and where applicable, referral to the appropriate legal or regulatory authorities.

6 Invoice & Financial Data

ReloHub processes financial data including invoice amounts, credit memos, currencies, and payment statuses. The following terms govern the handling of this data:

  • All invoices and financial documents submitted through the platform are considered business records and must be accurate, complete, and submitted in good faith.
  • Bristol Global Mobility does not warrant the accuracy of financial data entered by users and accepts no liability for errors arising from incorrect submissions.
  • Exported reports (Excel, PDF) are provided for informational purposes only and should be verified against source documentation before use in financial decision-making.
  • All monetary values are processed as submitted. Currency conversions, if any, are for reporting purposes only and do not constitute official financial advice.
  • The platform maintains an audit trail of all submissions, edits, and status changes for accountability and dispute resolution purposes.

7 Privacy & Security

ReloHub is built with security at its core. We employ role-based access control, verification codes, encrypted communications, and detailed audit logging to protect your data.

By using the Service, you acknowledge and agree that:

  • Personal and business data you submit may be stored and processed by Bristol Global Mobility for the purpose of delivering the Service.
  • We may collect usage data such as login timestamps and activity logs to maintain security and improve the platform.
  • Your data will not be sold or disclosed to unaffiliated third parties without your consent, except where required by law.
  • You are responsible for the security of your device and browser session; always sign out after use, especially on shared devices.
  • Bristol Global Mobility complies with applicable data protection laws across the jurisdictions in which it operates, including but not limited to the California Consumer Privacy Act (CCPA) and applicable U.S. federal and state privacy laws, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, and Singapore's Personal Data Protection Act (PDPA).

8 Confidentiality

The ReloHub platform contains commercially sensitive information belonging to Bristol Global Mobility, its clients, and its suppliers. As a user, you agree to treat all data accessed through the platform as strictly confidential and to:

  • Not disclose platform content, including reports, invoice data, or user information, to any unauthorised person or organisation.
  • Use information accessed through the Service solely for the purpose for which access was granted.
  • Apply at least the same standard of care to protecting ReloHub data as you would apply to your own confidential information.
  • This obligation of confidentiality survives the termination of your access to the platform.

9 Intellectual Property

The ReloHub platform, including its design, source code, features, branding, and all proprietary workflows, is the exclusive intellectual property of Bristol Global Mobility. All rights are reserved.

Your use of the Service does not grant you any ownership or licence rights over the platform or its components. You may not:

  • Copy, modify, reverse-engineer, or create derivative works based on the platform.
  • Reproduce or redistribute the ReloHub interface, branding, or documentation without prior written consent.
  • Remove or alter any copyright, trademark, or proprietary notices on the platform.

Data you submit to the platform (such as your invoices and business documents) remains your intellectual property. By submitting it, you grant Bristol Global Mobility a limited licence to store, process, and display it solely for the purpose of providing the Service.

10 Limitation of Liability

To the fullest extent permitted by applicable law, Bristol Global Mobility shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the ReloHub platform, including but not limited to:

  • Loss of data, revenue, or profits resulting from platform downtime or interruption of service.
  • Errors or inaccuracies in data submitted by users.
  • Unauthorised access to your account due to a failure to maintain credential security.
  • Reliance on exported reports or data without independent verification.

The platform is provided "as is" and "as available." Bristol Global Mobility makes no warranty, express or implied, regarding the fitness, merchantability, or uninterrupted availability of the Service. We will, however, make reasonable efforts to maintain availability and address issues in a timely manner.

11 Termination of Access

Bristol Global Mobility reserves the right to suspend or permanently revoke your access to ReloHub at any time and without prior notice if we have reasonable grounds to believe that you have violated these Terms, posed a security risk, or if your access is no longer required for legitimate business purposes.

Upon termination of your access:

  • Your login credentials will be deactivated and you will no longer be able to access the platform.
  • Data associated with your account may be retained for the period required by applicable law or Bristol Global Mobility's data retention policy.
  • Your obligations under the Confidentiality and Intellectual Property sections of these Terms will continue to apply after termination.

12 Governing Law

These Terms of Service shall be governed by and construed in accordance with the laws of the State of Delaware, United States, without regard to its conflict of law principles. Any disputes arising in connection with the Service or these Terms shall be subject to the exclusive jurisdiction of the state and federal courts located in the United States.

Where applicable, users located in the United Kingdom, Canada, or Singapore acknowledge that their use of the Service may also be subject to local data protection and privacy laws in those jurisdictions. Bristol Global Mobility is committed to meeting its obligations under the relevant laws of each country in which it operates.

If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.

13 Changes to These Terms

Bristol Global Mobility reserves the right to update or modify these Terms of Service at any time. When changes are made, the "Last updated" date at the top of this page will be revised. We will make reasonable efforts to notify users of material changes, but continued use of the platform following any update constitutes your acceptance of the revised Terms.

We encourage you to review these Terms periodically to stay informed of any updates.
